Resolved Reviews LLC ("Resolved Reviews," "we," "us," or "our") is a Jacksonville, Florida company. We help local businesses manage their online reviews and answer phone calls they would otherwise miss.
This policy explains what information we collect, how we use it, and the choices you have. We wrote it in plain language on purpose. If anything is unclear, contact us and we will explain it.
Who This Policy Covers
This policy applies to three groups of people:
Visitors to our website
Clients - business owners who hire us for Reputation Management or Phone System Automation
Your customers - people who call our clients' businesses, receive text messages through our systems, or leave reviews that we help manage
If you are a customer of one of our clients, that business is responsible for how your information is used. We process your information on their behalf, under their instructions. Questions about your data should go to the business you contacted, and we will help them respond.
Information We Collect
From website visitors
Name, email address, phone number, and business name when you fill out a form, book a call, or contact us
Basic technical information such as browser type, device, pages visited, and general location, collected through cookies and similar tools
From our clients
Business contact information, billing information, and account credentials needed to set up your services
Access to your Google Business Profile and review platforms, only as needed to manage reviews on your behalf
Your business phone line configuration, so we can route and answer missed calls
From our clients' customers (through our services)
Reputation Management:
Public review content, reviewer names, and star ratings posted on Google and other review platforms
Contact information (name, phone number, email) provided by our client so we can send review requests or follow up after a review
Phone System Automation:
Caller phone number, time of call, and call duration
Voicemails, call recordings, and transcripts, where recording is enabled and disclosed
Text message conversations between the caller and the automated system
Call Recording Notice
Florida law requires the consent of all parties before a call is recorded. Where our phone systems record calls, callers hear a clear notice at the start of the call. If a caller does not want to be recorded, they may hang up or ask to be contacted another way.
Text Messaging (SMS) and Consent
Our phone automation systems send text messages - for example, a follow-up text after a missed call, an appointment link, or a review request.
Text messages are only sent to people who have contacted the business, provided their number, or otherwise agreed to receive messages, as required by law (including the TCPA).
Every automated text conversation supports opt-out. Reply STOP at any time to stop receiving messages. Reply HELP for assistance.
Message and data rates may apply. Message frequency varies.
Phone numbers and SMS opt-in consent are never sold or shared with third parties or affiliates for their marketing purposes. SMS consent is not transferable and applies only to the business you agreed to hear from.
How We Use Information
We use the information we collect to:
Provide, operate, and improve our Reputation Management and Phone System Automation services
Respond to missed calls and messages on behalf of our clients
Draft and post review responses on behalf of our clients
Send review requests and follow-up messages that our clients authorize
Communicate with clients about their account, billing, and support
Market our own services to business owners who have contacted us
Meet legal, tax, and compliance obligations
We do not sell personal information. We do not use your customers' data to market to them for anyone other than the business they contacted.
Who We Share Information With
We share information only when needed to run our services:
Service providers. We use trusted platforms to operate - including our CRM and communications platform (HighLevel / LeadConnector), telephone and messaging carriers, payment processors, and hosting providers. These providers may only use the data to perform services for us.
Review platforms. When we respond to a review on your behalf, that response is posted publicly on the platform (for example, Google).
Legal requirements. We may disclose information if required by law, court order, or to protect the rights and safety of our business, our clients, or others.
Business transfers. If Resolved Reviews is ever sold or merged, customer information may transfer as part of that transaction, under this same policy.
We never share SMS opt-in data or phone numbers collected for texting with third parties for their own marketing. See the Text Messaging section above.
How Long We Keep Information
We keep information only as long as needed to provide services, meet legal requirements, and resolve disputes. When a client ends service, we delete or return their customer data within a reasonable period, except where the law requires us to keep records (for example, billing and consent records).
Your Choices and Rights
Text messages: Reply STOP to any message to opt out.
Marketing emails: Use the unsubscribe link in any email from us.
Access, correction, or deletion: Contact us and we will respond within a reasonable time. If your data belongs to one of our clients' accounts, we will work with that business to fulfill your request.
Cookies: You can adjust your browser settings to limit or block cookies. Some site features may not work without them.
Depending on where you live, you may have additional rights under state privacy laws. We honor valid requests regardless of your state of residence where reasonably possible.
Security
We use reasonable administrative, technical, and physical safeguards to protect information - including access controls, encrypted connections, and vetted service providers. No system is perfectly secure, but we take protecting your data seriously.
Children's Privacy
Our services are for businesses and their adult customers. We do not knowingly collect information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
Changes to This Policy
We may update this policy from time to time. When we do, we will change the "Last updated" date at the top. Meaningful changes will be posted on this page.
